Industries

Digital systems forreal estate and property.

Brokerages, developers and property managers all run on records that expire: a listing, a lease, a status certificate, a maintenance request. The digital work here is mostly about what happens to one of those outside office hours.

Leads answered at the hour they arrive, documents exchanged in a system, and advertising that carries what the regulator requires.

In your words

Soundslike this?

  1. Inquiries arrive at eleven at night and get answered the next morning.

  2. Our listing data is entered twice, once for the board and once for our own site.

  3. Every agent builds their own marketing and we find out what it says afterwards.

  4. Tenants report maintenance by text, by email and by phoning the office.

  5. Rent, arrears and work orders live in three places.

  6. A buyer asks for a document and it is attached to an email somewhere.

  7. Our site looks like every other brokerage site because we all use the same feed.

If the recognisable line is about maintenance and rent rather than listings, the first project is usually a tenant portal rather than anything to do with the website.

The operational shape

Records that expire, and a brokerage that answers for them.

Three things shape almost every digital decision in this sector, and the third is the reason brokerage websites tend to look alike whether or not anybody wanted them to.

01

Everything is perishable

A listing is live until it is not. An offer window is measured in days. A lease renewal, a status certificate and an insurance certificate all have dates on them, and a system here is mostly a set of things that expire and somebody who needs to know before they do.

That makes speed the main lever. An inquiry answered within the hour is in a different competitive position from the same inquiry answered in the morning, and most inquiries in this sector arrive outside office hours.

02

The brokerage answers for the registrant

In Canada real estate is regulated provincially, by the Real Estate Council of Ontario under the Trust in Real Estate Services Act, by the BC Financial Services Authority under the Real Estate Services Act, and by equivalent bodies elsewhere. Advertising rules generally require the brokerage to be identified and constrain how a registrant may describe themselves.

So a brokerage site is not only a marketing surface, it is a supervision surface: whatever an agent publishes under the brokerage's name is the brokerage's responsibility, and a system that makes that easy to check is worth more than one that makes it easy to publish.

03

The data mostly comes from somewhere else

Listing content arrives through board and association feeds, and the terms of those feeds govern how it may be displayed, refreshed and attributed. The marks associated with organized real estate are trademarks with rules attached to their use.

The consequence is that differentiation cannot come from the listing data, because everyone has the same listing data. It comes from everything around it: the neighbourhood argument, the process, the people, and how fast somebody answers.

What we are not claiming. None of the above says anything about how well any brokerage or manager runs. It describes a business where the data is shared, the clock is short and the supervision duty is real, and those three facts are what a build here has to be designed around rather than worked around.

The jobs

Four jobs a system does here.

Each one is a job rather than a feature, and each has a number your CRM or property system already holds. The third column names the measure rather than a value.

Real estate and property, the four jobs and what each one moves
The job What it looks like here The number it moves
Answer at the hour it arrives An inquiry read, matched to the listing or the property, recorded with a source and an owner, and answered from your own material, with anything that commits you waiting for a person. Time from an inquiry arriving to a first substantive reply.
Stop the double entry Listing and property data entered once and published everywhere it is allowed to appear, with the feed rules respected rather than worked around. Hours a week spent entering the same record twice.
Give tenants and owners their own answers A portal for maintenance requests, documents, statements and balances, reading from the property management system. Calls and messages per unit in a month that had an answer in a system.
Make supervision easy Advertising and listing pages generated from templates that already carry what the regulator requires, so an agent publishing quickly is an agent publishing correctly. Items flagged in an advertising review, before and after.

Scroll the table sideways to read it.

Sized with your own numbers

What the overnight inquiry is worth.

The most common first project here is answering inbound out of hours, so here is the sum that sizes it. Every figure is yours. We do not publish a response time or a conversion rate for this sector, because we would be inventing one.

What out of hours inquiries are worth, with your own figures
The number Where you already have it Your figure
Inquiries a month across all channels Your CRM, your inbox and your phone system together. your figure
Share that arrive outside office hours The timestamps are already in the CRM. your figure
Your conversion on inquiries answered within the hour Compare against the ones answered the next day. your figure
Your conversion on the rest The same comparison, the other way. your figure
Average value of a converted inquiry to the business Your commission or fee records, averaged. your figure
Additional conversions a month The difference between the two rates, applied to the out of hours volume. the result
What that is worth a month The line above, multiplied by the average value. the result

This is an arithmetic, not a claim. Every figure is yours, and the two conversion rates in the middle are the only ones that matter. If your team already answers overnight inquiries quickly, this is not your project and we will say so on the discovery call rather than after the build.

The same sum runs for tenant maintenance requests and for double entry hours.

By category

What a property build connects to.

By category, with the systems this sector actually runs. The listing feed and the property management system are the two that usually decide the shape of a build.

  • Listing feeds and board data

Where listing content comes from, and what the terms allow you to do with it.

association data distribution, board feeds, your own entry
  • Brokerage CRM and lead routing

Where an inquiry becomes a record with an owner and a source.

a brokerage CRM, Salesforce, HubSpot, an in house register
  • Property management

Where units, leases, rent, arrears and work orders live.

Yardi, RealPage, Buildium, AppFolio, an in house system
  • Accounting

Where rent, commissions and trust accounting reconcile.

your accounting system, a dedicated trust ledger
  • Documents and signature

Where agreements, disclosures and certificates are produced and signed.

    e-signature services, a document library
  • Maintenance and contractors

Where a work order becomes somebody attending.

a work order system, your contractor list, a field service tool
  • Marketing and advertising

Where listing promotion is bought and measured.

Google Ads, Meta, portals, your email platform
  • Identity and verification

Where a tenant, owner or client account is created and verified.

your own account system, a verification step you define

Every connection is validated by HUREAL's engineers during scoping and confirmed in writing before signature. Where a system genuinely cannot be connected, you hear it during discovery rather than during the build, and the scope is drawn around it instead of making a platform migration the price of entry.

Designed around the markets you serve.

Real estate carries advertising, record keeping and reporting obligations that most businesses do not, and the regulator is provincial. We identify privacy, accessibility, data-location, and operational requirements during discovery, based on where your business operates and what the system handles.

Technical controls and documentation are agreed with your team and legal advisers where needed. For a business operating in Canada, these are the requirements that usually apply.

  • Real estate advertising and registrationProvincial. RECO under TRESA in Ontario, the BC Financial Services Authority under the Real Estate Services Act, and the equivalent elsewhere

What we design forAdvertising rules generally require the brokerage to be identified and constrain how a registrant describes themselves. A site we build generates listing and agent pages from templates that already carry what the rules require, so publishing quickly and publishing correctly are the same action rather than competing ones.

What we document for your counselWhich required elements appear on which template, and where each one comes from, so your broker of record is reviewing a template rather than every page on the site.

  • Listing data and the marks around itAssociation and board feed terms, and the trademarks attached to organized real estate

What we design forFeed terms govern how listing content may be displayed, how often it must refresh, and how it is attributed. The marks associated with organized real estate are trademarks whose use is restricted to members. A build treats both as fixed inputs rather than as design preferences.

What we document for your counselThe feed in use, its display and refresh obligations, and every mark used on the site with the basis for using it.

  • Client identification and reportingAnti-money-laundering legislation, for reporting entities in real estate

What we design forReal estate brokers, sales representatives and developers are reporting entities under Canada's proceeds of crime and terrorist financing legislation, with client identification and record keeping duties attached. Where a system touches that step, the records it produces are designed to be retrievable rather than merely stored.

What we document for your counselWhich identification records the system holds, where, and for how long, so the obligation can be evidenced from records rather than reconstructed.

  • Tenancy and condominium requirementsProvincial. Ontario's Residential Tenancies Act and Condominium Act, and the equivalent elsewhere

What we design forResidential tenancy legislation prescribes forms and notice periods, and in Ontario most private residential tenancies use a standard lease. Condominium legislation sets rules about records, status certificates and how notices may be delivered electronically. A portal that issues notices or holds records is scoped around those rules rather than around convenience.

What we document for your counselWhich notices the system can issue, in what form, with what delivery record, and which consents were captured for electronic delivery.

  • Privacy and accessibilityPIPEDA, provincial privacy legislation, WCAG 2.2 AA, and AODA where it applies

What we design forTenant and client portals hold identification, financial and tenancy information. Scoped access, retention per record type, and every surface tested with a keyboard and a screen reader rather than asserted to work.

What we document for your counselWhat is held, where, for how long, who can reach it, and the accessibility test results per surface with the standard tested against.

HUREAL designs to a standard, tests against it, and documents what was built. The determination belongs to your broker of record, your counsel or your privacy officer. Our own conformance target and how to report a barrier are on the accessibility page.

Where to start

Which services matter most here.

Four services, and the reason in each

  • Agentic Operating Systems

Most inquiries arrive outside office hours in a business where speed is the main lever. Read, matched to the listing, recorded with a source and an owner, and answered from your own material, with anything that commits you held for a person.

  • Customer portals and booking

Maintenance requests, statements, documents and balances are the four things a tenant or an owner contacts you about, and all four are already in the property management system.

  • Integrations and Data

Listing feeds, the CRM and the property system were never designed to agree, and double entry between them is where a surprising amount of the week goes.

  • Corporate and marketing websites

Everybody has the same listing data, so nothing on a brokerage site can be differentiated by it. The argument has to come from the neighbourhood knowledge, the process and the people, which is a structure and writing problem.

The Insights index

Asked and answered

What brokerages and managers ask.

  • Can we look different when everyone uses the same listing feed?

Yes, and it has to come from everything around the listing rather than from the listing itself. The neighbourhood argument, the process, the people and how fast somebody answers are the parts nobody else has a copy of, and they are what the structure of the site is built around.

  • Can something answer inquiries overnight?

It can read the inquiry, match it to the listing or the property, record it with a source and an owner, and answer from your own material with the source shown. Anything that commits the brokerage or quotes a term waits for a person, every time.

  • Will it work with our listing feed?

We check the specific feed and its terms during discovery, because the terms govern display, refresh and attribution and they are fixed inputs rather than preferences. Where a feed does not permit something, you hear it before the build rather than after a complaint.

  • Can tenants report maintenance in a portal?

Yes, reading from and writing to the property management system rather than to a copy of it, with the work order, the photographs and the history in one place. Which requests a tenant can raise themselves and which need a person is decided in design.

  • How do we stop agents publishing something they should not?

By making the correct version the fast one. Listing and agent pages are generated from templates that already carry what the rules require, so an agent publishing quickly is publishing correctly, and your broker of record reviews a template rather than every page.

  • Who owns what you build?

Your listing and property data stays in the systems that already own it. How ownership works

  • What does it cost?

The build price is set after the discovery call and sent in a written proposal, because an honest number needs the scope, and here the scope is mostly the feeds and the property system. The number is written into the signed scope and does not move once it is signed.

Bring the question your sector keeps asking.

A discovery call starts from what is happening in your business, not from a sector template. If the website is the question, the audit starts from the site as it is.

Answered at the hour it arrived.
